We use MechanicDesk to manage workshop and customer records, Podium for customer communications, and Xero for accounting. MechanicDesk is connected with Podium and Xero, so relevant information may pass between these systems to support communications, invoicing and accounting.
We may share information needed for a particular purpose with payment processing providers, IT services, website hosting and communications providers, and our accountant or professional advisers. Where relevant to your job, we may also share necessary information with your insurer, an authorised transport provider, or roadworthy and regulatory authorities. We may disclose information where required or authorised by law.
We use Podium’s automated messaging and AI assistant to respond to customer enquiries and help collect booking information. Information used for these responses may include your contact details, the content of your enquiry and motorcycle or service details you provide in the conversation.
Steve (AI) may apply our workshop service rules when answering an enquiry. For example, he may advise that we do not provide mobile workshop services or that certain motorcycle types are outside the work we accept. Automated responses can be incorrect or incomplete. We hold customer information in our business systems and with the service providers we use. Some providers may store, process or access information outside Australia. Depending on the provider and service, these locations may include the United States, New Zealand, the United Kingdom and Vietnam.

Recordings and transcripts may contain your voice, contact details, motorcycle details and other information discussed during the call. We use CCTV at our workshop for security. Footage may capture customers and visitors and may be reviewed when investigating a security incident.
